🤖 Phase 3: Test & Train

Now that your resources, schedules, and custom rules are in place, it’s time to validate your setup and ensure your team is confident behind the controls.

📋 1. System Testing

Before go-live, thorough testing ensures your system rules and workflows perform seamlessly for every user. The single most important rule is to always test from two distinct perspectives: as an administrator and as a regular user. Because admins automatically bypass standard system restrictions, logging in with a non-admin test account is the only way to experience QReserve through your end users' eyes and confirm your booking guardrails are truly working.

To streamline this process, run your testing in two quick passes:

  • UAT with Core Admin Team & Stakeholders: Have your core team execute end-to-end booking workflows using test accounts to verify that base rules, forms, buffer times, and rate calculations function as intended.
  • Site Reconfiguration & Refinement: Gather feedback from your initial testing, fine-tune any site rules or form fields, and run a final test pass to ensure your environment is fully polished for launch.

Once you're ready to begin, use this step-by-step checklist to guide your testing pass and ensure your setup matches your specific operational requirements:

  1. Create Test Accounts
    Log in with a test account to experience the site as a regular user.

  2. Test Booking Workflow
    Execute full reservation cycles from request to completion. Reference your completed onboarding document—which outlines your key operational workflows like user onboarding, reservations, and billing—to guide your testing and ensure your QReserve setup matches your specific operational requirements.

    More specifically, make sure to check these common parameters (if applicable to you):
    • A: Verify Credential Rules — Attempt to book a restricted resource without required credentials to confirm the system blocks access.
    • B: Check Billing & Pricing Tiers — Confirm rate schedules calculated correctly for different User Groups.
    • C: Verify Required Fields — Attempt to submit bookings with blank form fields to ensure validation works.
    • D: Verify Other Booking Guardrails — Ensure operational limits like Min/Max Booking Durations, Lead Times, Minimum Notice, Buffer/Cleanup Windows, and Weekly Maintenance Blocks are all working properly.

📋 2. Admin & Staff Training

By this point in the process, your administrative team likely already feels much more confident. Hands-on experience building out your site's resources, rules, and workflows serves as great informal training.
