Phase 3: Testing & Admin Training

Before launching to live users, test all workflows using simulated accounts and prepare your administrative team.

Step 1: Sandbox QA & User Acceptance Testing (UAT)

Always test twice: once as an administrator and once as a regular user using a test/bot account. Admins automatically bypass restrictions, so testing with non-admin test accounts is critical.

  • Admin Sandbox QA: The core administrative team verifies that base rules, forms, buffer times, and rate calculations function as intended.
  • User Acceptance Testing (UAT): Invite key stakeholders or department heads to walk through end-to-end workflows using test accounts.
  • Site Reconfiguration: Collect feedback from UAT, refine site rules or form fields as needed, and re-test prior to launch.

Testing Checklist

  • [ ] Create Test Accounts: Log in with a test account to experience the site as a regular user. Learn more about test accounts.
  • [ ] Test Booking Workflows: Execute full reservation cycles from request to completion. Reference your completed onboarding document—which outlines your key operational workflows like user onboarding, reservations, and billing—to guide your testing and ensure your QReserve setup matches your specific operational requirements. More specifically, make sure to check these common parameters (if applicable to you):
    • [ ] Verify Credential Rules: Attempt to book a restricted resource without required credentials to confirm the system blocks access.
    • [ ] Check Billing & Pricing Tiers: Confirm rate schedules calculated correctly for different User Groups.
    • [ ] Verify Required Fields: Attempt to submit bookings with blank form fields to ensure validation works.
    • [ ] Verify Other Booking Guardrails: Ensure operational limits like Min/Max Booking Durations, Lead Times, Minimum Notice, Buffer/Cleanup Windows, and Weekly Maintenance Blocks are all working properly. 

Step 2: Admin & Staff Training

By this point in the process, your administrative team likely already feels much more confident. Hands-on experience building out your site's resources, rules, and workflows serves as great informal training. However, to ensure every site manager and administrator is fully aligned and ready for launch, we recommend reviewing the following training resources together:

  • Hands-on Practice: Conduct real-time exercises with your admin team (e.g., manually issuing a credential badge, processing a booking approval, or pulling usage reports).
    • Note: While UAT in Step 1 validates that your site rules function correctly, this hands-on practice focuses on building administrative confidence and ensuring your team understands operational day-to-day procedures.
