Phase 2: Configuring Your QReserve Environment

With your discovery completed and your resource spreadsheet filled out, you are ready to transition from planning into building inside the QReserve Admin Console.

The key to a fast, hassle-free setup is building your site prerequisites first. QReserve allows you to link access rules, pricing tiers, badges, and custom tracking fields directly to your resources as you create them. By establishing your foundational settings—like User Groups, Credentials, Custom Properties, and Tagsbefore adding your resources, you ensure that every resource seamlessly connects to its governing policies from day one. This proactive build order eliminates double-work, saves significant time, and guarantees that your site guardrails are active the moment your resources go live.

Whether you plan to bulk-import hundreds of assets via CSV or manually create a handful of core items directly in the interface, follow the sequential roadmap below to establish a solid foundation.

Step-by-Step Setup Sequence

  1. Define Site Settings:
    • Navigate to Site Settings → General Settings.
    • Upload your organizational logo, provide a site description, and designate primary and secondary site contacts. Note: Assigned contacts must have an active user profile within the site prior to selection. 

⚠️Note: It is best practice to assign a secondary contact in case the primary contact leaves.

  1. Build Site Prerequisites: based on what you mapped out in Step 2 above. 
  • User Groups: Go to Administration → Users → User Groups → Add User Group and create your operational tiers.
  • Credentials: Go to Administration → Users → Credentials → Create New Credential Type and add required safety or equipment badges.
  • Tags: Go to Administration → Resources → Tags → Add Tag and build out your categories.
  • Custom Resource Properties: Go to Administration → Site Settings → Properties → Custom Resource Properties and build out your unique resource fields.
  1. Create Custom Forms (if required):
    • Go to Administration → Forms → Create Form.
    • Build mandatory checkout questionnaires (e.g., Project Billing Account Code, Emergency Contact, Hazard Declaration).
    • Refer to our Custom Forms documentation for more details.
  2. Add Resources:
    • For single resources: Navigate to Administration → Resources → Add Resource.
      • 💡 Pro tip: You can clone an existing resource to easily scale your site if your new resources share a similar structure.
      • 💡Pro tip: You can upload basic resource data and then use the in app multi-editor to profile reservation rules/guardrails/etc in bulk. 
    • For bulk resource creation:
      • Upload via Administration → Resources → Import CSV.
  1. Establish Resource Rate Structures:
    • Note: This step is only applicable if your facility uses billing rates; if your resources are free to use, you may skip this section.
    • Once resources are added, define and assign billing rates by navigating to Administration → Resources → [Resource] → Reservations → Rates. This ensures your resource usage is accurately tracked and billed according to your financial policies.
    • Rates can be set individually per resource or managed in bulk via CSV. To download a custom CSV template pre-populated with your resource IDs, navigate to Administration → Resources → Rates → Download. Once populated, import your rates to apply updates.     • Note: Your site's currency can be configured under Site Settings → Location → Currency. Please note that QReserve sites currently support only one active currency at a time.
