2. Setting Up Service & Registration Requests (In-App & Public)

The Scenario

Sometimes users don't just need to book a resource—they need your facility's expertise to run it or deliver a service for them. Whether you're a research lab managing sample processing requests, a makerspace handling 3D printing and fabrication jobs, a coworking venue processing membership applications, or a production studio booking editing consultations, scattered emails create chaos. This setup replaces inbox clutter with a streamlined request queue. Keep form access strictly internal to QReserve users, or turn on public access to embed forms directly onto your website.

🔬 Research Labs & Core Facilities (Primary Example)

  • Example: Accept specialized requests for sample preparation, gene sequencing, mass spectrometry analysis, or custom data interpretation.

🛠️ Makerspaces & Machine Shops

  • Example: Process custom 3D printing or CNC fabrication requests (with CAD file attachments), or manage new member registration and safety intake applications.

🏢 Coworking Spaces & Meeting Venues

  • Example: Receive member registration requests, dedicated desk applications, or special event room booking requests directly through a public website form.

🎙️ Media & Production Studios

  • Example: Manage requests for post-production editing services, podcast mixing, video consultations, or booking technical operators for studio sessions.

Implementation Steps

  1. Configure the Resource: Navigate to Resources → Add Resource, create the resource, and set its calendar type to Requestable.
  2. Build Your Intake Form: Navigate to Administration → Forms → Create Form to design a form for your project requirements, then attach it to the Service Request resource.
  3. Set Approver Rules: Go to the resource profile and designate an Approver so staff receive automated notifications for new submissions.
  4. Enable Web Requests (Optional): To offer public booking, go to Administration → Web Integration → Create New Web Integration and select Public Slot Booking & Requests.
    1. If creating a Web Integration for this Request, make sure the resource has the following parameter enabled: [Resource Name] → Requests → Public Web Integration Requests → Enabled.
  5. Track Progress: Click any request and select + New Project to centralize file storage, manage collaborators, and track progress.
