Resource Tags

Resource-level tags provide a fast, flexible way to categorize your equipment, spaces, and services directly from the resource profile. This makes them ideal for ad-hoc organization, quickly grouping related assets, and filtering curated views for web embeds.


1. Creating and Adding Tags to a Resource

Creating a New Tag:

  1. Navigate to your QReserve site dashboard and access the Administration menu.
  2. Select Resources in the left-side menu.
  3. Click on Tags at the top right
  4. In the Manage Resource Tags window that pops up, click + Add Tag
  5. Type the name of your new tag
  6. The new tag is now ready to be added to resources

Tagging an Individual Resource:

  1. Navigate to your QReserve site dashboard and access the Administration menu.
  2. Select Resources in the left-side menu to view your complete list of resources.
  3. Click on the specific resource you want to tag to open its configuration page.
  4. Navigate to Profile > General.
  5. Scroll down to the Tags field.
  6. Click + Add tag and then choose the tag you’d like to apply to this resource from the menu of existing tags. Repeat to add more tags - a resource can have multiple tags assigned to it.
  7. Click Add tag to apply the updates to your resource.

Tagging Multiple Resources (Bulk Edit):

To apply the same resource-level tag to a large group of items simultaneously, use the multi-edit tool:

  1. In the Resources list, check the boxes next to the resources you want to tag.
  2. Click the Multi-Edit button at the top right of the resource list.
  3. Select the Tags field from the list of properties to update.
  4. Type or select the tag(s) you wish to apply, then confirm your changes to update all selected resources at once.

2. Filtering Resources with Tags

Applying tags directly to resources improves their discoverability for your admins, allowing them to sort through large inventories with ease.

  1. Navigate to Administration > Resources.
  2. Click on Filters at the top of the page
  3. Click + Add tag filter
  4. Select one of the resource-level tags you have created.
  5. Repeat if you would like to filter by multiple tags (note: selecting multiple tags will filter resources that contain ALL tags only).
  6. The directory will immediately update to display only the resources carrying those specific tags, filtering out all unrelated items.
  7. Filtering by tag can be especially helpful when combined with the Multi Edit functionality. If you have resources that are naturally grouped together, such as categories of equipment, you can tag them all with the same tag, then use the Filter to easily locate them all, and add Multi Edit to make changes to the entire group easily without having to search for and select each resource. If you have a large number of resources, you will find that tagging them saves a lot of time!

3. Example Use Case: Filtering Reports With Tags

Resource-level tags can be used to generate reports for specific resources or categories of resources by using your tag(s) as a filter. Save time by identifying only the resources you would like to report on, rather than manipulating data after it’s generated.

How to filter a report using tags:

  1. Navigate to Administration > Reports 
  2. Select the report type you wish to run (e.g., Activity Report or Capacity)
  3. Set your primary parameters, such as the date range you’d like to pull data for
  4. In the Tags filter field, click + Add tag filter and select the tag corresponding to the specific asset group you want to analyze (e.g., select  Microscopes).
  5. Additional tags can be added as filters as required; note that your report will include only those resources that have ALL tags selected
  6. Click Apply Filters to generate your report
  7. View the report on the screen, or click Download to export your information to use outside of QReserve

4. Example Use Case: Web Embed Resource Directories

Resource-level tags are highly effective for generating curated resource lists that can be embedded directly into external websites, such as a departmental webpage or a specific lab's portal.

By filtering an embed with a specific tag, you can showcase a targeted group of resources without exposing your entire QReserve inventory.

How to implement a Tag-Filtered Web Embed:

  1. Navigate to Administration > Web Integrations
  2. Click on + Create New Web Integration
  3. In the Web Integration Type field, select Resource, Service, and Event Directory
  4. Configure the fields as desired - for example, select which resource properties you’d like to show, and which theme you’d prefer
  5. In the Filter and Optional Menu section, click + Add Resource Filter Item
  6. Select the specific resource-level tag you want to feature in Include resources with all of these tags:. For example, if you are embedding a directory on an Engineering Department page, configure the embed to only pull resources tagged with "Engineering".
  7. Click on Preview at the top of your new web integration to see how it will appear to users, and make any changes to your setup as desired.
  8. At the top of your new web integration, you’ll find the Web Integration Code and Web Integration URL that can be embedded into your site or sent to users
