General

The General tab under Site Settings is the central command center for customizing your site's identity, communication preferences, public visibility, and core system workflows.

Name and Logo

You can establish your site's brand and look by updating its core metadata and imagery.

  • Site Name: Enter or update the official name of your site. This name will appear across the platform and in user notifications.
  • Public Logo Upload: Upload an official logo or photo to brand your site page. This logo helps users quickly identify your facility.

Properties and Description

  • Description: Provide a detailed overview of your site, which will be visible to users on your public site page.
  • Organization Expertise: Highlight specialized skills, fields of study, or capabilities available at your site to inform visitors and potential members.
  • Sitewide Disclaimer for Calendars and Booking Forms: Add a comprehensive disclaimer or terms of use here. Once saved, this text will dynamically appear on all resource calendars and booking forms sitewide, ensuring visibility prior to any reservation.

Site Contacts

Manage who represents your site, handles communication, and provides user support. The Site Contacts section allows administrators to assign clear roles that appear across search results and help menus.

  • Primary Site Contact and Owner: The main administrator for the site. This name is displayed in search results and will receive all incoming inquiry emails sent to the site. This contact is visible to all users.
  • Secondary Contact: Additional administrators or team members who assist with management. These names will also appear in search results and will automatically be CC’d on all emails sent to the site.
  • Support Contact: The dedicated contact provided to site members on their QReserve help page if they have questions regarding their membership, credentials, or facility access.
  • Hide Contact Forms for Site and Resources (Toggle): If you prefer that users do not contact your team directly through the built-in QReserve forms, toggle this setting ON to hide contact forms on your site and resource pages. If enabled, you can manually list an external email address or alternative contact instructions within your site's description fields.

Affiliations

Connect your site to broader institutional networks and social channels by populating these optional fields:

  • Parent Organization or Institution: Identify your primary overarching entity (e.g., a university or parent corporation).
  • Secondary Organization or Institution: List any secondary affiliations, partner labs, or sub-departments.

External Links

  • Website: Provide a direct URL to your external facility or departmental website.
  • Twitter (or X) Username: Add your official handle to display a link to your social feed.

Projects

  • Default Email Message to New Users: Create a template message included in automated email notifications when new users are added to a project within your site.
    • Note: This message serves as the baseline but can be customized on a per-project basis. It is available to all site members who have permissions to create projects.

Advanced Settings

Opening the Advanced Settings drop-down enables complex sitewide behaviors, single sign-on parameters, and workflow toggles.

Single Sign-On (SSO) & QR Code Routing

  • SSO Entity ID: By default, resource QR codes direct scanning users to the standard QReserve sign-in page. To force direct users to your company or institution's custom single sign-on page, enter your unique SSO Entity ID here. Once configured, both platform invitations and resource QR codes will link directly through this identity provider.
    • Need your ID? Contact QReserve support if you do not already know your organization's Entity ID.
  • Auto-join Site When Scanning Resource QR Code (Toggle): When enabled, users who arrive at a resource page by scanning a physical QR code will automatically join your site as members if they are not already enrolled.
    • Requirement: For this to function, your site's access level must be set to Open under the Access tab.

Membership Management

  • Allow site members to leave your site on their own (Toggle): Enabled by default. When active, members can autonomously revoke their site membership via the My Membership window on your site page. Disabling this toggle locks down membership control, ensuring that only site administrators can remove users or manage membership statuses.

Workflow Automation

  • Enable workflows to run (Toggle): A master switch for automated background processes. When disabled, all active workflows across your entire site will immediately pause. Workflows will not resume until this toggle is re-enabled.
    • Important: Any workflows that were already manually paused prior to flipping this switch will remain paused and will not automatically unpause when the master toggle is re-enabled.
