Users
The Users tab under Site Settings provides administrators with granular control over member permissions, profile requirements, privacy boundaries, and account credential visibility across the site.
User Account Management
- Allow Users to Edit Their Stored Account Numbers (Toggle): When enabled, both site administrators and users can autonomously add, delete, and modify their list of pre-defined account numbers. Disabling this option locks editing rights, stripping users of the ability to alter their pre-defined numbers.
- Pro Tip: If an account number prompt is enabled elsewhere on the platform, users will be automatically prompted to add these codes directly on your site page if they haven’t provided any yet.
- Account Number Note to Users: A customizable text area where you can input instructions, formatting rules, or hints. This note appears directly on the user’s membership editing page above their account number input fields to ensure accurate data entry.
- Allow Users to See All Other Users (Toggle): Controls baseline peer visibility across your facility. Enabling this toggle is required to use reservation guests and project invitations.
- When Enabled: Site users can filter by other members on the site calendar, add guests to their reservations or booking requests, and invite other users to join their own projects without needing an administrator to intervene.
- Privacy Protections: Even with this filter active, any individual reservations explicitly set to hide user details will remain anonymous. However, note that project membership always overrides this—project members will invariably see reservation details for any bookings tied directly to that shared project.
- Require Display Names to contain a First and Last Name (Toggle): When turned on, the system enforces a strict naming convention. Users must have both a first and a last name saved to their core QReserve profile, including any site-specific display name overrides.
- Allow Users to Upload Files On Their Profile (Toggle): When active, members can directly upload, store, and manage personal files, certifications, or training documentation on their own profiles.
- Note: Site administrators always retain full access to upload and manage files on any user profile, regardless of whether this setting is turned off for regular users.
- User Group Metadata Fields: In addition to a user group name, you can associate other information with user groups by specifying the field names below and separating each field with a comma.
- Do Not Send New Users Emails By Default (Toggle): When enabled, the system suppresses emails when a new user is added to the site. Communication will only be sent if an administrator or moderator explicitly opts in to send an alert during the manual creation process.
