Bulk Importing Reservations
If you have a large number of reservations to be added to your QReserve site, you can save time by using the bulk import feature instead of adding them one by one. This can be the case when you are migrating from an older system, or even a manual tracking system, to your new QReserve site.
Getting Started
Navigate to your reservation calendar, such as from Sites > Reservation Calendar. Begin by downloading the CSV template for reservations by clicking Upload Reservations > Download CSV Template. This will provide you with the column headers needed to add the reservation details to your site.

Important notes:
- Existing reservations cannot be modified via the bulk reservation upload feature
- Ensure that data is entered in the correct format for each field type
- The default rate is applied automatically to all resources that require one
- Bulk uploading reservations will not trigger confirmation or approval emails.
Open the CSV template in a spreadsheet program for easier editing, and then add your reservation information to populate the rows. The supported fields are shown in the table below, along with the required format.
Once your template is complete, download it in CSV format. Then, return to your QReserve site and navigate to your reservation calendar again (Sites > Reservation Calendar). Click on Upload Reservations at the top, and then drag and drop your CSV file into the window.
Once your reservations have been uploaded, they will appear on the resource calendars just like bookings that were made directly in the site. Modifications can be made by users (following your access configuration rules) and admins as usual.
Troubleshooting
When uploading data, your CSV file will first be parsed by the QReserve platform for any initial problems. Once the upload has begun, additional issues may arise for invalid or conflicting data values. These errors are typically returned to your upload window with information about the row and the column where the error occurs. If you encounter any issues with uploading your data please contact us.
Important Note: Start and End dates and times for reservations must be entered in the format YYYY-MM-DD HH:mm:ss
